Employer Interview Guide

Congratulations on taking the first step to growing your practice! The following information is provided for you as a resource to enhance your physician recruitment experience with Nephrology Connect. We hope you find the following interview guidelines beneficial in your upcoming on-site candidate interviews. As always, if you have further questions, we’d love to help. You can reach out here.

EMPLOYER INTERVIEW GUIDELINES

Time Frame

  • Any candidates we present to you should be contacted by your practice within 48 hours or we request you inform us of your decision to pursue or not to pursue the candidate within that same time frame.
  • One key component to securing a physician candidate is the timeliness in which you respond to their application.
  • Candidates often pursue multiple job options concurrently so making early contact is advantageous.

Site Visit Duration

  • 1.5 to 2 full days is standard

Expenses

  • Standard interview guidelines generally leave all reasonable expenses associated with prospective candidates coming to interview as the responsibility of the practice. We suggest that someone in your office assist the candidate with their travel arrangements. This allows your practice to have more control over costs. These expenses may include:
    • Airfare for the candidate and spouse (economy or coach, direct flight if possible)
    • Hotel (3 stars and above)
    • Rental car (Mid-sized)
    • Reasonable meals during travel and interview
    • Airport parking
    • Public or other transportation to the airport
    • Mileage
  • You may also opt to have the candidate book their own travel and provide you with receipts for reimbursement. If you choose this option, provide the candidate with clear instruction on how they should retain and present receipts to you. Reimbursement should be in a timely manner. It is acceptable to challenge or not reimburse for expenses that are inappropriate or excessive. Any candidate that takes advantage of the practice interview is most likely not a good fit but set expectations ahead of time to avoid this.

Partners and Family

  • It is important to include the candidate’s partner in the interview process as they often have a good deal of input on the final decision, if possible. Subject to practice policies governing travel, the partner should have a separate itinerary and be included in meals if appropriate. Partners should not be included in hospital or dialysis center visits, operational or financial discussions.
  • Typically, children are not included during site visits but due to the age of the child or lack of childcare, a candidate might insist on bringing them. It is the discretion of the practice whether to pay for a child’s travel.
  • Partner itinerary may include:
    • Luncheons with other partners/spouses
    • School tours
    • Community and housing tour
    • Meeting with hospital recruiter for a physician partner/spouse
    • Playtime for children – libraries, parks, local attractions

Agenda

  • An agenda/itinerary should be created for both the physician and their partner. Include a visit to all practice locations and allow for personal interaction with each physician and with practice administration.
  • Make sure any restaurant selections cater to dietary restrictions and verify with the candidate ahead of time for any concerns. (halal, vegetarian, gluten free, allergies, etc)
  • Community Tour (consider partnering with a local real estate agent)
  • Distribute the itinerary in advance of the visit so a candidate knows what to expect.

Virtual Interviews

  • Some practices elect to host virtual interviews in advance of or in lieu of an on-site visit. These can be very helpful in keeping overall recruitment costs down by avoiding more than one on-site visit or to help weed out candidates that may not be cohesive with your practice’s personality and culture.
